Dedupe Contacts

Scan for import placeholders that duplicate a real contact and fold them into the real record.

3 min read · in your admin: /admin/dedupe-students

A DiveShop360 import creates placeholder records (an email like ds360+name@import.…) for students who often already existed. "Merge Import Duplicates" finds each placeholder with a real twin and folds it into the real record. Admin and manager only.

Scan, then merge

  1. Press "Scan for duplicates". This changes nothing; it lists every placeholder that has a real twin.
  2. Review the "Delete (placeholder) → Keep (real record)" pairs. Open "skipped (no clear match)" to see the ones held for manual review and why.
  3. Press "Merge all N →" and confirm "Merge and delete". Use "Re-scan" afterwards to confirm the list is empty.

What a merge does

  • Every linked record — certifications, training records, orders, documents, waivers, roster entries, texts, class-day notes and a child’s guardian link — moves to the kept record.
  • Blank contact fields on the kept record (phone, date of birth, secondary email, address, notes) are filled from the placeholder.
  • The placeholder is then deleted, all in one transaction, so a failure part-way leaves nothing half-moved.

What it never merges

  • The kept record’s email and any field it already has. Only blanks are filled; nothing on the real record is overwritten.
  • A name-only match. Two different people can share a name, so the live merge also needs a phone, date of birth or secondary email to agree. Those pairs are listed for review instead.
TipFor two ordinary duplicates that are not import placeholders, use "Merge duplicate…" on a contact’s Edit details page, or tick exactly two rows in the raw Contacts table. Both let you pick which record to keep and which value wins where they differ.
CarefulA merge cannot be undone. Read the pair list before pressing "Merge all".
