New Orders board

Paid course orders waiting on eLearning, and paid gear waiting to be handed over or shipped.

New Orders is a to-do list, not a history. A card stays until you tick it off, and the tick is what stamps the record and clears it. Admin, manager and sales can open it.

Course orders: New → eLearning → In Training

  1. A paid course order appears with the student’s name, date of birth and email — what you need to register them with the agency.
  2. Send the eLearning invite from the agency site.
  3. Tick "eLearning sent". The record moves from "Paid — needs eLearning" to "eLearning sent" and the card drops off. It moves to "In training" once the student is added to a class roster.
  • One purchase with several courses shows as one card with a tick per course, because each course is its own training record.
  • "Ordered by" appears when the buyer is not the student — a parent paying for a child.
TipThe same tick is on the order page and on the training record, so you can clear it from wherever you are.

Gear to Hand Out

  • Each card carries a PICKUP or SHIP chip from what the customer chose at checkout.
  • Tick "Given to customer" when they collect it, or "Shipped" once it is in the mail. Either clears the card.
  • "Print slip" gives you a packing slip with the items and address.

What "needs a label" means

A SHIP card that reads "In Shippo — no label bought yet" has been pushed to Shippo but nobody has bought postage. Buying the label is the shipping event: the tracking sync stamps the order shipped and clears the card within about half an hour, so you rarely tick "Shipped" by hand on a Shippo order.

CarefulA SHIP card with "No address on file" cannot be shipped. Reach out to the customer and add the address to their profile first.
