Shipping

Push paid ship-to-me orders to Shippo, buy the label there, and let tracking flow back to the order, portal and customer.

4 min read · in your admin: /admin/shipping

Shipping lists paid gear orders the customer asked to have mailed. You send each one to your own Shippo account, buy the label there, and the tracking number comes back on its own.

Connect Shippo (admin only)

  1. In Shippo go to Settings → API and copy the Live Token.
  2. Paste it into the "Shippo account" card and press "Connect". The token is checked live before it is stored.
  3. The card then reads "Connected ✓" with the token’s last characters. "Disconnect" removes it.
CarefulThe token buys postage on your card, so only admins see the token card. Other staff see "Not connected yet — ask an admin".

Send orders and print the label

  1. Check the address on each card. "⚠ Address from the student profile" means checkout did not capture one — look twice before shipping.
  2. Press "Send to Shippo" on a card, or "Send all N to Shippo" for the whole list.
  3. The card changes to "In Shippo ✓ — buy label ↗". Open Shippo Orders, pick the carrier and rate, and print the label.
  • Only ship-to-me orders appear here. Pickup orders are handed over from the New Orders board.
  • A card with "No address on the order or the student profile" cannot be sent until you add one to the profile and reload.
  • Only gear lines are pushed; a course on a mixed order has nothing to put in a box.

Tracking write-back

Once a label is bought, a background sync reads the tracking number, carrier, service, status and delivery estimate from Shippo and writes them onto the order. Buying the label counts as shipping, so the order is stamped shipped and drops off New Orders. The customer sees the tracking link in their portal and receives a shipped email; staff see it on the order page and the contact’s Orders panel.

TipProducts without a shipping weight are counted as one pound for the rate quote. Set weights on products if the Shippo estimates look off.
