The Finance page

Income received by month, quarter and year, net of refunds, in your shop’s time zone — owner only.

4 min read · in your admin: /admin/finance

Finance shows income received, by month, quarter and year, with a breakdown by certifying agency, class, trip and sales tax collected. It is the shop’s whole P&L, so only the admin role can open it; managers see a “no access” panel. Store Use and Commission Payouts stay open to managers.

Pick a period

  1. The pills at the top choose a year, then YTD / Full Year or Q1–Q4. A bare page load shows the current quarter.
  2. The four tiles show This month, the selected period, this year YTD, and All time.
  3. Every panel below is scoped to the selected period except the “sales tax by quarter” table, which always shows all four quarters of the selected year.

What counts as income

  • Cash basis: an order counts on the day it was paid (or created, for imports), cut at midnight in your shop’s time zone — an 11 pm sale is still today.
  • Net of refunds: what was received minus what was refunded. A fully refunded order contributes nothing; a partial refund subtracts its share.
  • Unpaid orders, $0 placeholder rows and split-invoice balance rows are kept out of the breakdowns so nothing is counted twice.

Breakdowns

  • By agency groups course revenue by SDI, PADI and so on, with Courses / Trips / Gear totals underneath.
  • Top classes merges the same course sold under slightly different names. Top trips groups by destination.
  • Click any bar to expand the orders behind it; each line opens that order.
  • Sales tax shows Taxable sales, Non-taxable sales and Tax collected. Courses and trips are services and never taxed; on a mixed sale only the goods portion is taxable.
TipThe page reads every order, not the newest few thousand — older quarters are exactly the ones you file from, so nothing is dropped.
CarefulA sale that collected no tax stays wholly non-taxable, even if it has gear on it. That is treated as a deliberate exempt sale, not reclassified after the fact.
