Store Use and use tax

Gear pulled from stock at $0 — training sets, rental fleet, giveaways — valued at cost for the Taxable Purchases box.

Store Use lists every gear line that left inventory at $0.00 — training sets, the rental fleet, warranty swaps, giveaways — valued at what you paid for it. Stock bought under a resale certificate carried no sales tax; when it never reaches a customer, the shop owes use tax on its cost. This page is the worksheet for the Taxable Purchases box on your sales tax return. Admin and manager can open it.

Log a store-use pull

  1. Ring the item up on the register.
  2. Tap its price and choose $0 — store use. This is a $0 price, not a 100% discount.
  3. Put the sale against a customer named for the purpose — many shops use a contact literally called “Store Use” for training pulls, and the actual person for a giveaway.
  4. Take it as a Cash sale. Nothing is charged.
CarefulA discounted-but-still-sold line is a sale, not store use, even at 99% off. The register already collected sales tax on it, and counting it here would tax it twice. Only a true $0 price lands on this page.

Read the page

  • Pick a year and YTD / Full Year or a quarter with the pills. Tiles show Units taken, Cost basis, Est. use tax at your configured rate, and Lines with no cost on file.
  • By quarter shows Units, Cost basis and Use tax due for all four quarters of the year.
  • Who it went to groups by the customer on the sale. Use tax is owed either way; the customer is what separates a training pull (equipment) from a giveaway (marketing) in your books.
  • Every line lists date, order, customer, item, quantity, unit cost and extended cost. Click the order number to open the sale.

Cost is a snapshot

Each line keeps the dealer cost frozen at the moment of sale. A vendor catalog re-import that rewrites today’s product cost does not change a period you already filed. Lines sold before the register recorded cost are valued at today’s cost and marked “est.” in amber. Lines whose product has no cost at all count as $0 and understate the total — fill in Cost on the product and lines sold from then on carry it.

TipThis is not a second deduction. If you expense gear to cost of goods when you buy it, moving it to store use is a reclassification. Items you bought tax-paid rather than under your resale certificate don’t owe use tax again — leave those out when you file.
