QuickBooks Online sync

Post one balanced summary of each day’s sales into QuickBooks Online. Needs the QuickBooks add-on.

2 min read

The QuickBooks page posts a single balanced journal entry per business day into QuickBooks Online — daily totals by revenue category, tax as its own line, adjustments when refunds happen. No customer, diver, waiver or medical data ever leaves DiveDesk. It needs the QuickBooks add-on on your plan, and only the admin role can connect or disconnect.

The short version

  1. Open Settings → QuickBooks and press Connect to QuickBooks. Sign in at Intuit and pick the company your sales should post to.
  2. Map every revenue category — courses, gear, trips, rentals, and other — to an account in your chart of accounts. An unmapped category unbalances the entry and QuickBooks rejects the whole day.
  3. Pick a business day you can check by hand and press Preview. It shows both sides of the entry without writing anything. Post that one day.
  4. Once a day posts cleanly, enable the nightly sync. Or keep posting days by hand if you prefer to review each one.
  5. To stop: press Disconnect QuickBooks. Tokens are deleted at once; entries already posted stay in your books for you to keep, edit or void.
CarefulEvery pre-filled mapping dropdown deserves a second look before the first post. A mapping made against one QuickBooks company points nowhere if you later reconnect to a different one — re-check it before posting.
TipNot on QuickBooks? The same page produces the balanced daily summary as an Export you can key in by hand or open as CSV. Nothing else in DiveDesk depends on the connection.
