Promotions and the Promo Tracker
Run a no-code offer like “free fins with Rescue Diver” and see who earned it.

A promotion is an offer with nothing for the customer to enter. You define which courses qualify and a date window; the Promo Tracker lists everyone who signed up for a qualifying course inside that window so you know who gets the reward. Qualifiers come from real enrollments, not from anything the customer typed.
Set one up
- Open Marketing → Promotions. If nothing is running, press the Promotions link in the empty state — it opens the Create New form for a promotion.
- Title is the offer name, e.g. “Free Scuba Fins”. Reward is what they get.
- Qualifying courses: one keyword per line. A signup qualifies if its course title contains any keyword, ignoring case — “Rescue” matches both SDI Rescue Diver and PADI Rescue Diver.
- Set Start date and End date. Signups on either date count; the end date runs to the end of that day.
- Keep Active ticked so it shows on the tracker. Notes are internal (stock, fulfilment).
Read the tracker
- Each running promo is a card with a Running or Ended chip, the reward, the window, the qualifying keywords and a big “Earned it” count.
- The table lists Student, Contact (email and phone), Course with its agency chip, and Signed up date. Click a name to open their training record.
- Untick Active on the promotion to take the card off the tracker once rewards are handed out.
TipKeywords match the course title, so keep them short and distinctive. “Open Water” will also match “Open Water Referral” — if that is not intended, add a more specific phrase instead.
CarefulThe tracker reads the newest 1,000 enrollments. A very long promo on a busy shop should be checked before its first day drops off that list.
