Inventory Scan: counting and receiving

Scan a shelf to count it, scan a delivery to receive it, capture real UPCs, fix mis-scans, and print the labels in one go.

Plug in a barcode scanner and scan into the box — it also accepts a typed SKU or part number plus Enter. The box stays focused between scans; a good scan flashes green, an unknown code flashes red. Every role can open this page.

Pick a mode first

  • 📋 Count stock — scan every item on the shelf, then apply. Stock is SET to what you counted.
  • 📦 Receive new stock — scan incoming items, or edit the Adding number for a full case, then apply. Stock is ADDED to.
  1. Scan. Each scan adds one to that item’s row and floats it to the top.
  2. Fix a count by editing the Counted or Adding column.
  3. Click Apply counts (n) or Add to stock (n). Applied rows fade and say ✓ applied.
  4. Tick the Print column, choose your label stock, and click 🏷️ Print all labels (n) — one label per unit. A single row prints with its own 🏷️ Label button.

Sessions save automatically and follow you to any computer or iPad. Printing the labels and applying the stock change finishes the session and clears it everywhere; Start over discards it.

When a scan is not found

The red Not found panel offers three choices: + Add as a new product opens the quick add form and lands the item in the session at qty 1; ↳ It’s a size/colour of an existing product finds the parent by name and adds the code as an option with a Size and a Colour; ✕ Dismiss forgets it. Typing part of a name shows a list to tap, which is how barcode-less stock gets counted.

Capture the real UPC while the box is in hand

The UPC column shows a real code (8–14 digits) in plain text. Anything else — blank, or a store-internal placeholder like D560-red — shows a Scan / type UPC field. Scan the carton into it and click Save. The placeholder stays on the SKU, so it still scans.

CarefulA placeholder counts as “no real code yet” on purpose. When the catalog consolidation put a code on every product, the capture field hid itself for the whole catalog and staff with the box in hand had nowhere to put the manufacturer’s barcode. If the field is showing, scan the box.

Website and section

On site publishes the product from the row. Section is where it sits under the Gear menu; a published product with no section shows ⚠ Pick a section… in amber and is invisible on the storefront until you pick one. ✎ renames the product.

CarefulThe × button removes a row from this session only. It does not change stock and does not undo a row already applied — you get a confirmation saying so. Undoing an applied change is a new adjustment the other way.
