Vendor catalogs and Search Parts

Subscribe to a vendor’s price book at your dealer tier, then pull parts — or a whole line — into your inventory.

6 min read · in your admin: /admin/catalog-subscriptions

DiveDesk keeps shared vendor price sheets. Vendor Catalogs is where you say which ones you carry and at which price level; Search Parts is where you find parts in those catalogs and add them to your own products. Both are Admin and Manager only. A catalog is one vendor — every brand in that vendor’s book comes with it.

Subscribe to a vendor

  1. Open Vendor Catalogs — one row per vendor, with its Brands and a Parts count. Filter by vendor or brand… narrows the list.
  2. Pick your Price level. The vendor’s own dealer tiers come first under Your dealer tier, then retail, dealer, cost, map. Choose the tier you actually buy at.
  3. Click Subscribe. The row gains a Subscribed pill; changing the price level later re-subscribes at the new tier.
  4. Click the part count to browse everything that vendor carries in Search Parts, pre-filtered to them.

If the list says No catalogs available yet, the DiveDesk team is still importing sheets. Selling something no catalog has? Use + Add product manually.

Pull parts into inventory

  1. In Search Parts, type a part number, UPC, description or keyword and press Search.
  2. Tick the rows you want (the header checkbox selects the page), then click ☁ Bulk Add to Inventory.
  3. To take on a whole line, search with nothing ticked. When more than one page matches, an Add all N to inventory button appears; it works in batches of 100 and reports progress.
  4. Read the result: Added X products to inventory · linked Y you already stocked · Z already imported. Items you already had are linked, not duplicated.

Keep prices current

⟳ Sync Existing refreshes price and description on every imported product, adds images scraped since, and takes up any vendor UPC the sheet has gained — the result says how many, so reprint those labels. Products no longer in a subscribed catalog are left alone.

CarefulRemove drops every subscription covering that vendor, including any leftover per-brand rows from before catalogs were grouped by vendor. Parts already in your inventory stay; you just stop seeing the catalog in Search Parts. There is no undo short of subscribing again at the right tier.
TipNothing you add goes on the website by itself. Flip On site on the Inventory Scan row, or tick List this product on the public website storefront on the product record.
