Products: fields that matter

What each field on a product record does — price, cost, SKU, barcode, variants, storefront section, and the shareable Product link.

Products is the raw list of everything you sell in person or online. Most products arrive from a vendor catalog or from the Add product form on Inventory Scan; the record is where you fix the details. It is under Raw data in the sidebar.

Identity and codes

  • Name and Slug. Save with a slug and the sidebar shows two links with Copy buttons. Product link is the product page — post it anywhere. Buy now link drops the item in the cart and goes to checkout; put it behind the Buy button on your own website (an item with sizes or colours shows the page so the buyer can pick). Both work only while the product is Active and listed in the gear shop.
  • SKU — your own part number.
  • Barcode — the UPC the register scans. Leave it blank and one is generated on save: a store-internal UPC starting with 2 that prints on the label and scans back to this product. Paste the manufacturer’s UPC here instead whenever the item has one.
  • Category is the broad kind. POS group is free text that becomes a sub-tab on the register (Masks, Fins, SDI Gear). Storefront gear category decides where it shows under the Gear menu on your website.

Money and stock

  • Retail Price — what the customer pays. Pre-filled from the catalog; change it freely.
  • Cost — your dealer cost. Used for margin, never shown on the storefront, visible to Admin and Manager only.
  • On-hand quantity and Low stock threshold. At or below the threshold the item is flagged on the Dashboard and the Reorder List; blank means never flagged.
  • Shipping weight per unit, in ounces. Shippo refuses an order with no weight; a blank item counts as 1 lb.
  • Grants air fill credits — for a prepaid fill card. Buying it credits the customer’s account instead of adding stock.

Sizes and colours

Size / Color options is a JSON list, one entry per option, each with its own sku, barcode, price and stockQuantity. Leave it empty for a single item. Inventory Scan can add an option for you when an unknown barcode turns out to be a colour of something you already stock.

Visibility

  • Active — untick to stop selling it anywhere. It still scans, flagged inactive, so a box in hand can be counted.
  • List this product on the public website storefront — POS and website are separate; a product can sell at the counter and not on the site.
  • Current clients only — hidden from the storefront unless the visitor is signed in.
CarefulOnce a real UPC lands in Barcode the internal code still resolves, because the scan lookup searches barcode, SKU and part number. Overwriting a placeholder is safe. Overwriting a manufacturer UPC is not — the box stops scanning.
