Documents: PDFs sent for signature or kept on file

Any PDF that belongs to a person — review questions, a physician’s medical, an instructor’s upgrade form — sent for e-signature or filed as-is.

Documents is where a PDF that belongs to one person lives. Two jobs: send it to them to e-sign (review questions, a release, a form the agency wants signed), or keep it on file as-is (a physician-signed medical, a copy of a card). Waivers and training records have their own places; this is for everything else.

Who it belongs to

  • Student — pick them by name; their name and email fill in. This is the normal case.
  • Staff member — for instructor paperwork such as a specialty upgrade form, filed against their login.
  • Signed waiver — for a physician-signed Diver Medical that answers one specific waiver (a Physician Hold). The Contact profile picks it up too.
  • Nobody yet — type a name and email for a one-off recipient who is not in Contacts.

Send for signature or file it

  1. Give it a title the student will recognise in the email — Open Water review questions, not scan-004.
  2. Upload the PDF and pick the person.
  3. Press Send for Signature. They get an email with a signing link; the status goes to Awaiting signature. If they have not signed, a reminder goes out on its own — up to three.
  4. When they sign, the status turns Signed, Signed at is stamped and the Signed PDF link appears in the sidebar. The training record and the Contact profile both see it.
  5. For something that needs no signature, leave it unsent — it shows as On file. If they signed on paper, the Paper signed row records who confirmed the copy is in the drawer.

Customers can also upload a document themselves from My Account. Those arrive with Uploaded by customer ticked and their note attached; the title is always one you control, never their text.

TipReview questions for a whole class go faster from Training → Review Questions, which creates and sends one document per student in a single pass. See the Review questions guide.
CarefulA signed PDF is a legal record. Deleting the document deletes the signed copy with it; if a student asks for it later, there is nothing to send. Leave signed documents where they are.
