Enrollments: the training record behind every student

What an enrollment is, what each status means, when to open the raw list instead of In Training, and how to move a student out and back.

An enrollment is one student on one course — it is created the moment they buy (web or POS) or you add them to a class roster, and it becomes their training record: status, stage, dives, skills, signatures and, at the end, the certification. Under Raw data → Enrollments you see the records still moving through training; In Training is the day-to-day view of the same list. Once a certification is issued, or a record is refunded, cancelled or marked inactive, it drops off this list. The student’s Contact profile keeps their full history regardless.

Status and stage

  • Status is where the sale and paperwork stand: Pending → Paid → eLearning sent → Scheduled → In training → Training complete → Certified. Refunded and Cancelled end it; Inactive parks it.
  • Stage is set for you from the dives logged on Class Day: Needs pool, Needs lake dive 1, Needs lake dive 2, In progress, Complete. It drives the class-day email lists, so do not edit it by hand.
  • Channel says where it came from — Web order or POS order. Paid at and Total amount come from the order.

When to open the raw record

  • To change the course or instructor on an enrollment — the Overview tab. The instructor named here is who is emailed to countersign when you press Send for Signature.
  • To fix the agency. PADI generates the PADI referral form; every other agency uses the SDI/generic training record.
  • To move a student out of training: set Status to Inactive and write an Inactive reason so the next person knows before they call. The record remembers the status to return to; set it back and training resumes where it left off. In Training has an Inactive tab for exactly this.
  • To record a certification when the agency card was issued outside DiveDesk: fill Certification / card number and Date issued first, then tick Certification issued. That writes the certification record.
CarefulDo not delete an enrollment to undo a sale — refund the order and the status follows. Deleting loses the dives, skills and signatures with it.
TipA walk-in who paid at the counter but has no enrollment yet: open their Contact and add them to a class roster. The enrollment is created for you.
