Send training records for signature
What a training record is, when it is ready, and how student, guardian and instructor sign it.

A training record is the story of one course purchase: who is on it, the pool sessions, dives and skills logged on class days, and the signatures the agency needs before a card can be issued. Send Training Records (/admin/send-records) lists every record whose water work is under way and that has not gone out for signature yet.
The two tabs
- Ready to send — water work finished. These are sendable.
- Missing info — everyone still short something, closest to done first.
- Each row shows the course, the class it belongs to (or “Not on a class roster”), and ticks for Pool, Lake dives, eLearning and the review doc.
Send it
- Tap Send for signature on the row. You can also send from the record’s Signatures card with Send for Signature →.
- The student is emailed a link to e-sign. A student on a multi-student record gets their own link.
- The instructor is emailed a link to countersign, and can also sign at /admin/instructor-sign: draw or type a signature, then Sign & Complete Record. ↻ Resend signing email to student sends a fresh link.
- Once both have signed, the signed PDF is generated, emailed to the student, and appears as View signed record PDF → on the record.
Sending an unfinished record is allowed; the row just says “Not finished yet”. That is for a referral or a record completed elsewhere.
Which form goes out
Only the real Open Water course uses the agency’s pre-printed referral form, chosen by the record’s agency: SDI or PADI. That is the Uses the official agency referral form box on the course. Every other course, from specialties to refreshers, gets a generic training-record PDF.
Students under 18
Age comes from the date of birth on the record. For a minor, the email says a parent or legal guardian must sign, the guardian is copied, and the signing page asks for the guardian’s name and signature instead of the student’s.
