Staff logins and roles

Staff Logins is the list of people who can sign in to the admin. It is separate from Staff Bios, which is the public staff page on your website. Only an Admin can add, edit or delete a login, or change anyone’s role. The Account page under Settings is for your own password; this page is for everyone else’s.

Add a login

1. Open Staff Logins under Raw data and click Create new.
2. Enter First name, Last name and Email. Name fills itself from first and last.
3. Choose a Role. There is no default — the dropdown must be set on purpose.
4. Tick This user teaches or assists classes for anyone who runs or helps with a class. It opens Facility Name, Phone, Instructor Certifications and Documents, and puts them in the class staffing pickers.
5. Under Instructor Certifications add each agency they teach for with its Instructor Number. The right agency’s number prints on that agency’s referral form.
6. Save, then click ✉ Send Password Reset Link so they set their own password. The button only appears after the first save.

What each role can open

• Admin — everything, including Finance and every Settings page.
• Manager — everything except Finance and the shop-configuration settings (Stripe, QuickBooks, Business Phone, Custom Domain, Order Numbering, Time Zone, Sales Tax, Billing, Audit Log).
• Sales — POS Register, Cash Drawer, Quotes, New Orders, Orders, Shipping, Trip Manifest, Inventory Scan and Print Labels. No Class Day, training records or certification pages.
• Instructor — Class Day, Send Training Records, Issue Certifications, Certifications, Review Questions, Inventory Scan and Print Labels. No register, orders or money pages.
• Divemaster — Class Day, Cash Drawer, Trip Manifest, Inventory Scan and Print Labels. Cannot issue certifications or send training records.

Pages open to everyone include Leads Board, Texts, In Training, Classes, Contacts, Promotions, Service Desk, Rentals, Gear Tracking, Account and Hardware Setup. The Commission tab sets a commission rate; a login that becomes an Instructor gets 10% unless you type a rate yourself.
